General Statement of Job
The Program Coordinator for Honors and Global Leaders keeps official department records for both the Honors Program and the Global Leaders Program. In addition, the Coordinator relieves the Directors, as well as staff members, of administrative work by performing the following duties.
Specific Duties and Responsibilities
Serves as the customer service point of contact for the department by managing incoming calls, emails and faxed documents.
Prepares confidential correspondence, reports, and other complex documents including recruitment and probation letters, as needed.
Maintains the Honors Program and Global Leaders Program student database through the production of tables, reports, and spreadsheet files, often utilizing Excel to do so.
Manages calendars and independently schedules appointments for departmental staff.
Coordinates all departmental purchase order requests, supplies and inventory.
Assists in arranging programs and events; arranges for facilities and food service and issues information or invitations, and coordinating speakers.
Sends information to students regarding deadlines for study abroad contracts, advising appointments, graduation paperwork, etc.
Creates and maintains database and spreadsheet files.
Assists the Global Leaders Director with organizing and implementing student programming (i.e. Leadership Seminars, Conference Registration, and Domestic/International Travel).
Enrolls all Honors students in Banner each fall and spring semester.
Processes all student applications and schedules applicant interviews with the faculty.
Enter and maintains scholarship awards in Banner.
Prepares data on incoming Honors Program and Global Leaders Program cohorts.
Composes and prepares minutes of Honors Program Committee and Global Leaders Committee meetings.
Certifies Honors Program graduates and notifies the Registrar of their status.
Supervises student workers.
Understands policies and procedures relating to Admissions, Financial Aid, the Honors Program, and the Global Leaders Program.
Assists the Directors in developing publicity materials to send to University Relations and Marketing.
Provides administrative support for time sensitive matters when the Directors are not available: sending in book orders, attending administrative meetings, and carrying out other administrative tasks as assigned.
Processes course evaluations and compiles student comments from evaluation forms.
Works closely with the Directors to plan and organize student programs and events, such as Discovery Days, Survival Seminars, Signing Ceremonies, Southern Welcomes, etc.).
Performs other related duties as required.
Education, Experience, and Licenses
High School diploma or GED required. College degree from accredited college or university preferred.
Three years applicable progressive experience and /or training; or equivalent combination of education and experience. Prefer training and / or experience in insurance, benefits, accounting, Excel and Word software, and customer service.
